It’s no secret that I’m passionate about not only DIY but Young Living essential oils too so when the opportunity came up to participate in a local women’s health fair, despite my introverted personality, I couldn’t wait to share my excitement, my story, my LOVE for essential oils with the public in the hopes of helping others. Pardon the cell phone pics…it was a busy day!
Because it’s my plan to participate in events as opportunities arise, I did invest some money into having materials I need to set up a table. Here’s what I did:
1. I’ve attended several vendor events in the past during my career in healthcare but never had to do so on my own dime. I found that most people pocket the freebies (pens, hand sanitizers, stress balls) but don’t really ‘use’ or even ‘look’ at the information on them. So, providing tchotchkes (small promotional items) isn’t necessary, especially when you’re a new business with a small budget with the potential to reach 100s of people. This event provided space and a table for free. Cost to participate was donation of a basket/prize for a Chinese auction to raise money for a local breast cancer support group. Easy enough and fun! I made up a basket using a fall centerpiece I created and a bottle of Nutmeg oil (great oil for fall!). I made up and printed a card about the benefits and uses of Nutmeg essential oil and tucked in a few Young Living brochures/handouts and my business card.
2. I purchased a promotional table cloth with the Young Living logo. Mine is eggplant with white lettering and a gold metallic leaf/oil drop. Not only does it give my table a professional edge at events but it’s been pretty for when I host essential oils classes/parties too.
3. Backdrop display. I covered a tri-fold cardboard table top display with wrapping paper and gold DuckTape and washitape. I enlarged one of the handouts/graphic for a poster as a central focus point (by uploading the image to Staples’ Copy & Print center). The others I printed and laminated myself. I attached them using adhesive velcro so that I have the option to move things around and swap things out in the future. I also used a few extra large clothespins to display informational cards. I topped it off with a DIY black/gold “essential oils” banner.
3. Product. I displayed everything that comes with the Premium Starter Kit: 11 essential oils, my diffuser and literature. I also had the boxes of a few of the kits I had also ordered – Essence of the Season for Christmas and the Golden Touch kit for cold/flu season. I diffused clove + orange for a pretty fall scent.
4. Scrapbook. I printed out several informational graphics and put them into a binder/scrapbook. (Great for referring to when answering questions! Good to have on hand for my own use too!)
5. Raffle. I doctored up a clearance sale wreath from Michaels, (see the Peppermint, Lavender and Thieves essential oils samples tucked in?), made up, printed and attached card about the benefits of those oils. I secured a brochure/business card to the back. I randomly chose a winner from the entries gathered from #6.
6. A few inexpensive chalkboard easels. Use chalkboard markers (that won’t rub away easily). I wrote “Join our email list and be entered to win.” In a word document, I created two columns with lines. One labeled “Name”. The other “Email”. I printed off a handful and attached them to a clipboard. I also let people entering know that I wouldn’t be giving out email addresses to third parties or flooding their inbox. I then sent the sign ups an email introducing more about myself, Young Living, my story, essential oils and information on my next class.
7. I also had a giveaway for those who signed up “today” however, things move along so fast that I recommend to sticking to gathering contact info for invitations to future classes or to discuss/meet one-on-one.
8. Engage. I stood in front of or to the side of my table, smiling. It took stepping outside of my comfort zone but I made eye contact with people passing by/browsing and asked “Are you familiar with essential oils?” It was a great opening for giving more information about Young Living, essential oils and sharing how my family uses them everyday (more info here).
What IS Young Living essential oil?
Good luck at your event!

Hi! Wondering where you got those large charts?
Hi Charlie! I had them made up at Staples. 🙂
Thank you so much for this wonderful information!! Your table was beautiful! I am doing an event soon, so this is a fantastic find! Thanks so much for sharing!
Thanks, Tiffany! Good luck at your event! xo
I didn’t know we were allowed to set up YL at vendor events. That is awesome. Do you need permission? Any guidelines? Thanks for the tips! They are wonderful.
Hi Erica! Yep, you can set up a booth at a vendor event. I don’t believe there are any guidelines and no permission from Young Living needed. I think the only rule that would play a part is making up/selling homemade recipes (lotions/soaps/etc.) which is not permitted. Hope that helps! Best of luck! xo
Thanks for sharing! I was wondering if you had any oils or other product there for people to purchase?
Hi Geary! (Cool name!) No, I don’t supply product, just enjoy helping others get their own! 🙂 Someday I’d love to have a few kits on hand but haven’t gotten to that point yet since new kits are limited to new members. But doing so is certainly an option if you don’t mind the investment up front and managing the sale! Good luck!
When dealing with people that wanted to sign up today, how did you deal with that? i’m only wondering what info I should asking for when people want to join or purchase a starter kit?
Hi Taylor! I take along a few wholesale distributor forms and my laptop if there is wi-fi but mostly I find that events generate leads and have a drawing for those who subscribe to my newsletter. That way they get more information and I can stay in touch. Hope that helps!
Hello, Beautiful setup! Where did you get your table cloth?
Thanks, Janis! I got mine from KRE Publishing here: http://krepublishing.com?acc=c9e1074f5b3f9fc8ea15d152add07294
I don’t believe they’re available online anymore but I believe you may be able to order over the phone. Just let them know Roeshel Summerville sent ya! 😉 Good luck! xo
Thank you so much for taking the time and effort to share this with us! <3
hi! I love your table! I’m doing something similar next week. I know you said you had the 10 reasons to choose… Printed at staples but where did you find that original file?
Hi Laura!
It’s from my upline’s large group (Oily Families). Are you a part of that team or would your team have something similar available? I did a quick look at Member Resources in my virtual office but didn’t see anything similar there – but check out all of the cool sharable graphics that are there! Glad I looked! Good luck! xo
This is excellent! I’m doing a Mom to Mom sale this weekend and these ideas are fantastic. I will be using some for my own table 🙂 Thank you for sharing!
Thank you so much for your post!!! I am doing my first YL event at a craft show and your tips and photos are amazingly helpful!!! Thank you again!!! 🙂
Hi Roeshel,

So i have a query as you mentioned i the post that you printed out some info and presented those through binder r scrapbook. Is it possible for you too present those info where i can download and use it for the vendor event. Thank you so very much for this post.
Hello. Would you be willing to share what graphics you put into the binder? Just trying to get more ideas. Thank you!!
Hi Jenn, a mix of things from my upline/team like the Embrace Wellness graphic, Winter Wellness, promotions, etc.
It looks amazing!! You did an awesome job!
Thank you for sharing your experience! It was very helpful as I have my first coming up and I am nervous!
I cannot find a tablecloth ANYWHERE. KRE publishing doesn’t have any and I can’t find anywhere else. Have any extra I could purchase?
Hi Monica. No, I’m sorry. Maybe try a local embroidery type shop (or a shop that does custom vinyl decals)? Sorry I can’t be more helpful. Bummed that KRE pulled their YL logo’d items. 🙁
Hi – great display. I do craft shows as well (I make therapy packs and work the oils in as I talk w customers) & man Id love to have you design my display. I got some great ideas off yours tho. My things are all flat and other than the wooden crates dad built me I have issues w building in some height because my items fill my table. Thanks for sharing!
I’d love to see the handouts you have in your scrapbook.
Hi Julie,
They’re graphics provided by my upline (Facebook groups) and my oilrevolutiondesigns subscription. Hope that helps!
Where did you purchase you tablecloth? I have looked everywhere for one like yours.
Hi Lori, I got it at KRE Publishing but they’re no longer available there. Sorry I can’t be more helpful!

Hi!
I was wondering if you have a pdf for the 10 reasons banner that you might share? One that I could put my own name on? I can’t seem to find one.
Thanks!

Hi Karen,
It’s not my graphic. It belongs to the Oily Families team. Sorry I can’t be more helpful!
Do you actually sell items at this event or do you just sign people up
Hi Pam! I don’t keep inventory. I sign people up or collect their information to send more information or hand out flyers for my next event. Hope that helps!
Where did you get the cute open front pumpkin?
Thank you!! Great info! I’m just starting to do some vendor events – greatly appreciate you sharing your ideas!
With respect and gratitude,
